Annual General Meeting and Christmas Party

Important Notice

As yet the President and Membership Secretary positions still have no nominations. Please think carefully about whether you can help our club by taking one of these positions.

 

Annual General Meeting 

Don’t forget to wear your Christmas bling!

Members and their partners are invited to attend.

When:             Wednesday 8th December, 2021 – 10.00am for 10.30am start

Where:           Rhododendron Gardens, Parrish Avenue, Mount Pleasant

There is a $5.00 parking fee (donation) if you park inside the gates.  QR code check-in at the venue is required.

  • Our insurer requires that our Constitution contains a provision for temporary membership. Visitors are regarded as temporary members when participating in our activities and are covered under the current Personal Accident policy. Members will be asked to ratify that our Constitution be amended by the addition of: Paragraph 4a: Such persons who, being non-members, are allowed by the leader of a club activity to participate in an activity shall be considered to be members until the completion of the said activity”.
  • To continue in the coming year as we have to date, the club needs nominations for all committee positions. They are: President, Secretary, Treasurer, Website Manager, Membership Secretary, Program Manager, Newsletter Editor, Training Officer, Activities Recorder and Publicity Officer.  So please come to the meeting ready to nominate willing persons for the election.
  • The AGM will be followed by a short bushwalk and browse around the garden then a Christmas picnic. Tea, coffee, orange juice and a BBQ lunch will be provided, bring your own alcoholic drinks.   In order to be more environmentally friendly, we ask that you bring your own plate, cup, knife and fork. This is not mandatory but will help us to cut down on the rubbish that needs to be taken away as there are no bins at the venue.  It may also be a good idea to bring your own camping chair.
  • To assist us with catering, registration is essential. Please contact Ros Tierney (see Members List) or email illawarraramblers@gmail.com no later than Wednesday 1st December.

 

The committee positions are:

President – Provides leadership to ensure club operations run smoothly, ideally someone who has already spent time on a committee and is familiar with meeting procedure.

Treasurer – Manages the club’s finances, has custody of the club’s bank accounts, tracks income and expenses in a spreadsheet and monitors online payments.

Secretary – Handles club correspondence, organises meetings, takes minutes and is the contact person for Bushwalking NSW.

Program Manager – Co-ordinates activities, keeps in touch with leaders, checks and edits submitted activities online and publishes them on the website.  Sends out notices online about changes to the program.

Newsletter Editor – Seeks news and information items of interest, writes articles, compiles and distributes the online and printed versions, sends out interim notices online.

Website Manager  –  Oversees website operations, makes changes to website, handles problems and queries,  monitors website expenses.  Is the single point of contact for the service provider.

Membership Secretary – Manages the online member database and email list.  Handles enquiries about the club and deals with queries from members.

Activities Recorder – Sends out and receives Activity Registers.  Monitors activities undertaken and records the number of activities and participants in a spreadsheet.

Publicity Officer – Arranges the display of posters on community noticeboards and in shop windows.  Seeks opportunities to promote the club using traditional or social media channels.  Posts photos and other information in Facebook.

Training Officer – Identifies opportunities to develop or enhance skills across all activities.  Co-ordinates training sessions, liaises with leaders and other training providers.

There are two meetings each quarter at the City Diggers Club in Wollongong.  In addition, there is the AGM which is usually held at an outdoor venue.
